Asics ®/Tampa Bay’s Big South National Qualifier

TEAM CHECK-IN PROCEDURES

All teams must check-in or register with the tournament PRIOR to being allowed to start play. Team check in begins at 4:00 pm. At check-in, the coach, team rep or club director must sign the team’s roster verifying all the information contained on the roster form is correct and that at least one coach on the roster is IMPACT certified. All final roster changes must be made at this time.

Teams will not be permitted to begin on-court warmups, or play, until the registration process is complete.  All games will be scored as a forfeit until a team has completed registration.

The roster for any team winning a bid will be frozen as submitted at registration. The Qualifier will send a copy of this roster to the JOVC Director of Competition and the Regional Commissioner of the team’s region following the conclusion of the Qualifier as the team’s official roster for JOVC’s.


Location:

Registration will be on the lower level of the Georgia World Congress Center outside of Hall B in meeting room (TBA) on Thursday, March 24, 2004 from 4:00 PM to 9:00 PM. 


Express Check-In:

This procedure is fast and easy but only for teams that have all Medical Release Forms, all USAV numbers and a correct, pre-printed roster. No hand written changes on the roster will be accepted at Express Check In.
You can pre-print your check-in roster, fill out the verification information at the bottom of the page and bring it to us and use the special Express Check-In lines.

This will greatly reduce the time it takes to check-in. Here are the instructions:

  1. Log onto Signuptoplay.com.
  2. Select "Enter Event" from the left menu.
  3. Click on Asics ®/Tampa Bay’s Big South National Qualifier.
  4. When you have corrected or added all the roster information, click on the white button at the top of the page that says "Check-in-Form". A new window will pop up. This button will not be available until 10 days prior to the event.
  5. On the menu on the top of this new page, select File, then Print. (BE SURE you have set the margins in the Page Setup for .25 all the way around, or some information may not print.) Be sure that all players and staff have USAV numbers listed. No USAV numbers means NO PLAY.
  6. Fill in ALL the information requested at the bottom of the page. This information is MANDATORY in order to complete your registration. We must be able to contact you should we have a change.
  7. Sign the form. Bring this form with you or give it to the person who is checking the team in.
  8. You or the person doing the check-in can proceed to the EXPRESS LINE at check-in, where you will receive a pass for practice and for the team packet with the program and the schedule in it.


Regular Check-In:

If you do not have USAV numbers for every person on the roster - players and staff, or IF you need to make changes to your roster, you must go to the regular check-in line. Be prepared to show documentation (USAV card and signed Medical Release Form) for any player being added to a roster.

    If you do not have USAV numbers................
    you must have a letter signed by your Regional Commissioner affirming that the person is registered, but that the Region hasn't been able to issue the numbers yet. Nothing else will be accepted as proof of registration - no phone calls, no emails, no faxes, no letters signed by some person other than the Regional Commissioner.


Late Check-In:

Teams that are not able to check in during normal registration hours must email the tournament staff to place the team name on a Late Arrivals List in order to register on Friday, March 22.

TEAMS THAT PLAY THE MORNING WAVE need to report to the championship desk no later than 7:30 am.  IMPORTANT:  Any team not reporting for late registration by 7:30 am may be dropped from the event.

TEAMS THAT PLAY THE AFTERNOON WAVE need to report to the championship desk by 10:30 am. IMPORTANT: Any team not reporting for a late registration by 10:30 am may be dropped from the event.


Team Practices:
Teams will be allowed to practice ONLY if set up has been completed in facility. The doors will not be open to enter the hall until 4:00 PM -- you can meander around the vendors until that time. Teams must have completed check-in and received a Practice Pass in order to take a court. Courts are available for a 1/2 hour time slots and are on a first come - first serve basis. All practices MUST END no later than 8:30 PM.


Coaches Meeting:

There will not be a coaches meeting.


Tournament Schedule:.

The entire tournament schedule and program will be posted on line this year for you to download prior to the event -- at no charge. There will be no printed schedules at the event. Make sure to print the pages you want for the teams that are attending.  This will eliminate all the last minute schedules changes and reprints of sections of the book.  The program and schedule will be available no later than the Wednesday prior to the event, March 23. If we are able to post earlier , we will.


Palm based Tournament Schedule:.

In addition to this on-line schedule, University Athlete has agreed to give all club coaches and parents a free copy of the parent version of the scheduling software for this tournament. Just bring your handheld Palm to the tournament, and we will load the software onto your Palm, or you can visit the University Athlete web site on Wednesday evening or Thursday and download the software/schedule ahead of time. In order to use the University Athlete software you must have a Palm device that is running Palm OS 3.1 or higher. A Pocket PC such as Dell, Compaq, or HP is not compatible with the software. The software runs best on Palm OS 3.5 or higher


Exhibitor Displays:

Most all Exhibitors will be open on Thursday during Team Check-In for browsing and sales.
